Once the program has been finalized, you will
be notified of the type, date, time, length, etc. of your presentation.
At that point the final program will be found
here.
Length
Most papers are 20 minutes in length: 15
minutes of presentation and 5 minutes of questions.
Handouts
Any handouts are the responsibility of the
presenter.
Please ensure that you have sufficient
quantities of any handouts you wish to use.
Posters
Poster boards approximately
1.2 meters high by 2.4 meters wide will be available in the Exhibition area (Hall A) for mounting posters on
Sunday, Monday and Tuesday from 9:30 to 16:30; you must mount your posters on the day you will be
presenting. The location of your board space will be identified with the sequence number found in
the general program or on this web site. Your poster must be removed immediately after the end of the
poster session in which you are presenting.
Appropriate materials will be provided to
allow you to attach your poster to the board.
Presenters are asked to be
present during the period 17:00 - 19:00 hours on the day they are presenting to answer inquiries by visitors
to their poster displays.
A cash bar wine/beer
reception will be held in this area during the same time.
Posters must be installed on
the appropriate day between 9:30 and 16:30. Posters must be taken down immediately after the end of the
poster session in which you are presenting. Posters left in the poster area after the poster session
will be discarded.
Audio/Visual Equipment
Overhead projectors and LCD projectors will
be provided in all rooms. One 35-mm slide projector is available for the entire conference and must be
booked in advance; please check the appropriate box on the webHermes submission site.
Presenters are free to use their own laptop
for their presentation, but must ensure compatibility with the LCD projector prior to the start of their
session.
The Conference will supply computers equipped
with a CD-ROM drive and USB ports. Presenters are encouraged to bring their presentation on either a CD or
a USB flash drive. The computer will be running Windows 2000 with MS Office XP for Power Point
presentations. No floppy drives will be available
for use on these machines.
Please be sure to embed your fonts and
graphics properly in your PowerPoint presentation. Information on embedding fonts is available may be
obtained by clicking here. Information on
handling graphics may be found here.
MS Media Player will be loaded on the
machines; however, Presenters running '.avi' movies should check their presentation on a computer in the
Speaker Ready Room to ensure there are no problems. Problems have occurred in the past regarding
running different international editions of the software. Bringing the movie as a separate file is
strongly recommended.
No other software will be available for
Presenters to use on the supplied computers. In the event that a presenter wishes to run other
software, (s)he will be asked to bring her/his own laptop to the presentation.
There will be a Speaker Ready Room with A/V
equipment to preview your presentation. Please check prior to the day of your session that your
presentation works with the supplied system.
Backup
If you are using PowerPoint, we strongly
recommend that you also bring overhead transparencies as a backup in case of technological
difficulties.
